Attendance tracking for tutors: take the register from your phone

How to record attendance in seconds, keep a history for every pupil and tell parents in time, without paper registers or spreadsheets.

Why a proper register matters, even for a small tutoring business

Taking the register feels like a formality, yet most of the useful things you do follow from it. You see which pupils are drifting away, you can tell a parent about an absence the same afternoon, you can answer with facts when someone says “she has never missed a lesson”, and you notice when one group has a punctuality problem. On paper, the record disappears into a folder. In a spreadsheet, it stops being updated by the second week.

If you work with under-18s there is a second reason. Your attendance records are personal data about children, and keeping them tidy, accurate and no longer than you need them is part of doing the job properly.

What a good attendance system needs

  • Speed. If the register takes more than a minute you will stop doing it. It should be one tap per pupil.
  • Phone first. You are standing in a hallway or a classroom, not sitting at a desk.
  • More than present or absent. A pupil can arrive late or miss a lesson with a good reason. Those deserve their own statuses.
  • History by pupil and by group, available in seconds.
  • A link to parents, so an absence is a timely message rather than a dead entry in a table.
  • Permissions. Each tutor should see only their own groups.

How the register works in ClaseAlDía

  1. Open “Today”. You see the day’s lessons in time order, with group, room and tutor. Cancelled lessons are marked.
  2. Tap the group. The list of active pupils enrolled in it appears.
  3. Mark each pupil: present, absent, late or excused. You can add a note such as “mum rang ahead”.
  4. Save. If you switch it on, the parents of absent pupils get an email about the absence, once per pupil per day.

The record sits on each pupil’s page, with a summary of present, absent, late and excused marks for the last 90 days. If a pupil has missed three lessons in a row, you spot it in seconds and can talk to the family with facts rather than hunches.

An example: a tuition centre with four groups

Picture a Year 10 Maths group of six pupils meeting on Tuesdays and Thursdays at 5.30 pm. The tutor used to keep a paper register and type it into a spreadsheet when she remembered. With ClaseAlDía, at 5.35 pm she opens the app, taps the group and marks five present and one absent. With the notice switched on, the absent pupil’s parents get an email that same evening. At the end of the month the centre manager looks at the history, sees that three pupils have piled up absences and speaks to those families before it turns into a problem.

Habits that make registers stick

  • Do it in the first five minutes, while everyone is in the room. Leave it until later and it won’t happen.
  • Agree your definitions. How many minutes counts as late? What counts as an excused absence? Decide once for the whole centre.
  • Use notes sparingly. “Ill” or “mock exam” is enough; don’t turn the note field into a diary.
  • Send absence notices where they help. The automatic notice suits centres with children; for adult learners it is usually unnecessary.
  • Look at the summary once a week. Two minutes spent on it reveals trends early.

Attendance and personal data

A child’s attendance record is personal data under UK GDPR and the EU GDPR. Tell families what you keep and why, and don’t hold it for longer than you need. ClaseAlDía lets you mark a pupil as left or permanently delete their data when you need to; see how we handle information in the privacy policy.

How this fits with fees

Attendance and fees are separate records on purpose: a missed lesson does not change what a family owes unless you decide it should. If you also want to keep tabs on who has paid, our guide to tracking student payments walks through a monthly routine.

Common questions

Can I take the register offline?

The app needs an internet connection to save. In the classroom, it helps to have mobile signal or wifi.

Can a tutor see absences for groups that aren’t theirs?

No. Each tutor only sees their own groups and pupils.

Can I export attendance?

Yes, as a CSV for the date range you choose, ready to open in Excel.

What if a lesson is cancelled?

You mark it as cancelled in the calendar, with an optional notice to families, and it no longer asks you for a register for that day.
